Templates

The Templates page provides a centralized location for administrators to create and manage all types of templates used throughout the system. Templates ensure consistency across classrooms and help track student progress toward learning objectives.

Overview

The Templates page is organized into 8 main tabs, each managing a different type of template:

  1. Competency Map: Curriculum objective templates for mapping competencies
  2. Skills: Skills templates for tracking clinical skills
  3. Evaluations: Evaluation templates for assessments
  4. Clinical Logs: Clinical log templates for structured clinical documentation
  5. Skills Checkoffs: Skills checkoff templates for video-based assessments
  6. Courses & Assignments: Assignment templates for organizing courses and assignments
  7. Course Objectives: Course objective templates for mapping course-level learning
  8. Program Outcomes: Program outcome templates for mapping program-level learning

Common Features

All template tabs share these common features:

  • Fuzzy Search: Search templates by name or description
  • Real-time Filtering: Results update as you type
  • Clear Button: X button to quickly clear search

Archive Filter

  • Active Templates: Show only non-archived templates (default)
  • Archived Templates: Show only archived templates
  • All Templates: Show both active and archived

Note: Archive filter is only available to institution administrators.

Sorting

Click column headers to sort by:

  • Name: Alphabetical order (A-Z or Z-A)
  • Count Columns: Number of items (skills, questions, objectives, etc.)
  • Created: Date created (newest first or oldest first)

Status Badges

  • Active (Green dot): Template is currently in use
  • Archived (Yellow dot): Template is hidden but not deleted

Actions Menu

Each template has an actions menu (three dots) with:

  • Edit: Navigate to the template editor
  • Duplicate: Create a copy (available for Skills, Evaluations, and Clinical Logs)
  • Archive/Unarchive: Hide or restore templates (admins only)

Table Interactions

  • Click Row: Click anywhere on a row to navigate to the template editor
  • Hover Effects: Rows highlight on hover
  • Responsive Design: Tables adapt to screen size

Template Types

Competency Map (Curriculum Objective Templates)

Purpose: Define competency objectives and subcompetencies for curriculum mapping and accreditation.

Table Columns:

  • Name: Template name
  • Competencies: Number of objectives in the template
  • Created: Creation date
  • Status: Active or Archived
  • Actions: Edit, Archive/Unarchive

Creating:

  1. Click the "+" button (top right)
  2. Navigate to the template editor
  3. Add competency objectives and subcompetencies
  4. Save the template

Skills Templates

Purpose: Create reusable skill checklists that can be linked to curriculum objectives to track student skill completion and performance.

Table Columns:

  • Name: Template name
  • Skills Count: Number of skills in the template
  • Created: Creation date
  • Status: Active or Archived
  • Actions: Edit, Duplicate, Archive/Unarchive

Creating:

  1. Click the "+" button (top right)
  2. Navigate to the template editor
  3. Add skills with curriculum objective mappings
  4. Configure ability levels and required counts
  5. Save the template

Features:

  • Link skills to curriculum objectives
  • Set ability levels (performed, assisted, observed)
  • Set required completion counts
  • Duplicate templates for reuse

Evaluation Templates

Purpose: Create evaluation forms (questions mapped to curriculum objectives) used for assessing students, preceptors, or locations.

Table Columns:

  • Name: Template name
  • Target: Target type (Student, Preceptor, or Location) with color-coded badge
  • Items: Number of questions in the template
  • Created: Creation date
  • Status: Active or Archived
  • Actions: Edit, Duplicate, Archive/Unarchive

Target Types:

  • Student (Blue): Evaluations for students
  • Preceptor (Green): Evaluations for preceptors
  • Location (Purple): Evaluations for locations

Creating:

  1. Click the "+" button (top right)
  2. Navigate to the template editor
  3. Configure target type, grading type, and score type
  4. Add questions and map to curriculum objectives
  5. Save the template

Features:

  • Multiple target types
  • Various grading types (Satisfactory/Unsatisfactory, Likert Scale, Custom Scoring)
  • Question mapping to curriculum objectives
  • Duplicate templates for reuse

Clinical Log Templates

Purpose: Create clinical log templates for tracking clinical experiences, patient encounters, and other structured clinical data fields.

Table Columns:

  • Name: Template name
  • Fields: Number of custom fields in the template
  • Created: Creation date
  • Status: Active or Archived
  • Actions: Edit, Duplicate, Archive/Unarchive

Creating:

  1. Click the "+" button (top right)
  2. Navigate to the template editor
  3. Add custom fields (text, textarea, number, select, multi-select, searchable-select)
  4. Configure field properties and options
  5. Save the template

Features:

  • Dynamic field types
  • Preset templates for common professions
  • Medical code integration (ICD-10, CPT)
  • Duplicate templates for reuse

Skills Checkoff Templates

Purpose: Create templates for video-based skills checkoffs with AI grading.

Table Columns:

  • Name: Template name
  • Created: Creation date
  • Status: Active or Archived
  • Actions: Edit, Archive/Unarchive

Creating:

  1. Click the "+" button (top right)
  2. Navigate to the template editor
  3. Add steps and rubrics for the skills checkoff
  4. Configure AI grading settings
  5. Save the template

Courses & Assignments Templates

Purpose: Organize courses and their assignments, and map them to curriculum competencies.

Course Objectives (CO) Templates

Purpose: Define course objectives and map them to competencies.

Table Columns:

  • Name: Template name
  • Items: Number of course objectives in the template
  • Created: Creation date
  • Status: Active or Archived
  • Actions: Edit, Archive/Unarchive

Creating:

  1. Click the "+" button (top right)
  2. Navigate to the template editor
  3. Add course objectives
  4. Link objectives to courses
  5. Map to curriculum competencies
  6. Save the template

Features:

  • Course-level learning objectives
  • Course linking
  • Competency mapping
  • Used in curriculum mapping

Program Outcomes (PO) Templates

Purpose: Define program outcomes and map them to course objectives.

Table Columns:

  • Name: Template name
  • Items: Number of program outcomes in the template
  • Created: Creation date
  • Status: Active or Archived
  • Actions: Edit, Archive/Unarchive

Creating:

  1. Click the "+" button (top right)
  2. Navigate to the template editor
  3. Add program outcomes
  4. Map to course objectives
  5. Save the template

Features:

  • Program-level learning outcomes
  • Course objective mapping
  • AI-powered mapping (Pro plan)
  • Used in accreditation reporting

Managing Templates

Editing Templates

  1. Click on a template row or use the Edit action
  2. Navigate to the template editor
  3. Make your changes
  4. Save the template

Note: Most template editors have auto-save functionality.

Duplicating Templates

Available for:

  • Skills Templates
  • Evaluation Templates
  • Clinical Log Templates

Process:

  1. Click the actions menu (three dots) on a template
  2. Select "Duplicate"
  3. A new template is created with "Copy of" prefix
  4. All content (skills, questions, fields) is copied
  5. Edit the duplicate as needed

Use Cases:

  • Create variations of existing templates
  • Start new templates from proven ones
  • Preserve original while making changes

Archiving Templates

Purpose: Hide templates that are no longer actively used without deleting them.

Process:

  1. Click the actions menu (three dots) on a template
  2. Select "Archive"
  3. Template is marked as archived
  4. Archived templates are hidden by default

Unarchiving:

  1. Set archive filter to "Archived Templates"
  2. Click the actions menu on an archived template
  3. Select "Unarchive"
  4. Template becomes active again

Why Archive?

  • Keep historical templates without deleting
  • Hide templates that are no longer in use
  • Maintain data integrity for past assignments
  • Easy to restore if needed

Deleting Templates

Note: Not all template types support deletion from the list view. Some require deletion from the editor.

Warning: Deleting a template also deletes all associated data:

  • Skills templates: All skills are deleted
  • Evaluation templates: All questions are deleted
  • Clinical log templates: Template structure is deleted (logs remain)
  • Other templates: All related items are deleted

Before Deleting:

  • Consider archiving instead
  • Verify no active assignments use the template
  • Export the template data if you need a backup

Best Practices

  1. Consistent Naming: Use clear, descriptive template names
  2. Archive, Don't Delete: Archive unused templates to preserve historical data
  3. Use Duplicates: Duplicate successful templates as starting points
  4. Regular Updates: Keep templates current with curriculum changes
  5. Comprehensive Coverage: Ensure templates cover all required competencies
  6. Documentation: Include clear descriptions for each template
  7. Organization: Use naming conventions that make templates easy to find
  • Classrooms: Assign templates to classrooms
  • Evaluations: Use evaluation templates for assessments
  • Skills Checkoffs: Use skills checkoff templates for video assessments
  • Clinical Logs: Use clinical log templates for structured documentation
  • Curriculum Mapping: Use competency, CO, and PO templates for mapping
  • Accreditation Suite: Use templates for accreditation reporting
  • Reports: Generate reports based on template data
