Review Logs

The Review Logs page allows preceptors and administrators to review, approve, reject, and provide feedback on student clinical logs.

Overview

This page is the primary interface for preceptors to manage student clinical log submissions. It provides tools to efficiently review logs, provide feedback, and track student progress. The page displays only logs with pending or resubmitted status that require review.

Key Features

Tab Navigation (Institution Administrators Only)

Institution administrators see two tabs:

  • My Logs: Shows logs assigned to you as the preceptor
  • All Logs: Shows all pending and resubmitted logs within your institution

Regular preceptors only see logs assigned to them (equivalent to "My Logs" view).

Viewing Logs for Review

  • Table View: See all pending and resubmitted logs in a sortable table
  • Table Columns:
    • Checkbox (for bulk selection)
    • Student name (with colored badge)
    • Preceptor name (only visible in "All Logs" tab for administrators)
    • Log date
    • Hours (with colored badge)
    • Location (with colored badge)
    • Classroom (with colored badge)
    • Status (color-coded badge)
    • Actions (Review button)

Log Status

Clinical logs can have the following statuses, indicated by color-coded badges:

  • Pending (Yellow): Awaiting initial review
  • Resubmitted (Yellow): Revised and resubmitted after rejection
  • Approved (Green): Reviewed and approved
  • Rejected (Red): Returned to student for revision

Reviewing a Log

  1. Click anywhere on a log row or click the "Review" button
  2. A review sheet will open showing the full log details
  3. Review the log content in the sheet
  4. Take action:
    • Approve: Accept the log as submitted
    • Reject: Return for revision with feedback (feedback is required)
  5. The review sheet will close and the log list will refresh automatically

Search and Sorting (All Logs Tab Only)

Search Functionality:

  • Available only in the "All Logs" tab for institution administrators
  • Search by: student name, preceptor name, location, classroom, or status
  • Search is debounced (waits 300ms after typing stops)
  • Clear search with the X button

Sorting Options:

  • Available only in the "All Logs" tab
  • Sort by:
    • Date (Newest/Oldest) - submission date
    • Student (A-Z / Z-A)
    • Preceptor (A-Z / Z-A)
    • Log Date (Newest/Oldest) - the date of the clinical experience
    • Hours (High-Low / Low-High)
    • Location (A-Z / Z-A)
    • Classroom (A-Z / Z-A)

Bulk Review

Selecting Logs:

  • Use checkboxes to select individual logs (only pending/resubmitted logs can be selected)
  • Use the header checkbox to select all pending/resubmitted logs at once
  • Selected logs are highlighted with a selection bar showing the count

Bulk Actions:

  • Approve Selected: Approves all selected logs immediately (no feedback required)
  • Reject Selected: Opens a dialog requiring feedback before rejection
    • Feedback is required and will be sent to all students
    • Each student receives a notification about their rejected log

Bulk Reject Process:

  1. Select one or more logs using checkboxes
  2. Click "Reject Selected"
  3. Enter feedback explaining why the logs are being rejected
  4. Click "Reject Logs"
  5. All selected logs will be rejected and students will be notified

Providing Feedback

When reviewing logs:

  • Individual Review: Provide feedback in the review sheet when approving or rejecting
  • Bulk Reject: Provide general feedback that applies to all selected logs
  • Feedback is saved to the feedback history
  • Students receive notifications when logs are rejected with your feedback

Approval Process

Approving a Log:

  1. Click on a log row or the "Review" button
  2. Review the log in the review sheet
  3. Click "Approve" in the review sheet
  4. The log status updates to approved
  5. Feedback history is automatically recorded

Rejecting a Log:

  1. Click on a log row or the "Review" button
  2. Review the log in the review sheet
  3. Provide feedback explaining what needs to be changed (required)
  4. Click "Reject"
  5. The log status updates to rejected
  6. The student receives a notification with your feedback
  7. The student can edit and resubmit the log

Table Interactions

  • Clickable Rows: Click anywhere on a log row to open the review sheet
  • Checkbox Selection: Click checkboxes to select logs for bulk actions (clicking the checkbox itself won't open the review sheet)
  • Review Button: Click the "Review" button in the Actions column to open the review sheet
  • Hover Effect: Rows highlight on hover to indicate they're clickable

Notifications

  • Students automatically receive notifications when their logs are rejected
  • Notifications include:
    • The date of the clinical log
    • Your feedback explaining what needs to be changed
    • A link to view and edit the log

Data Display

  • Color-Coded Badges: Information is displayed with color-coded badges for easy scanning:
    • Student names: Indigo
    • Preceptor names: Orange
    • Hours: Green
    • Location: Purple
    • Classroom: Blue
  • Date Format: Dates are displayed in MM/DD/YYYY format
  • Empty States: When no logs match your criteria, helpful messages are displayed

Best Practices

  1. Timely Review: Review logs promptly to provide timely feedback to students
  2. Constructive Feedback: Provide specific, actionable feedback when rejecting logs
  3. Consistency: Apply consistent standards across all reviews
  4. Bulk Operations: Use bulk approve for logs that meet standards without issues
  5. Individual Attention: Use individual review for logs that need detailed evaluation
  6. Search and Sort: Use search and sort features in "All Logs" to efficiently find specific logs
  • Clinical Logs: Students create and submit logs here
  • Classrooms: View logs organized by classroom
